Change Status/Notify Registrants

Have a kid who is no longer playing on the soccer team? Want to cancel the registration? Have you received payment by check and need to record the registration as Paid?  Want to track your athletes as eligible? Use the Approval feature and list them as 'Approved' or 'Not Approved'. Now you can easily make these changes.

This article will show you how to:

  • Change status and notify registrants individually or in bulk
  • Change status and notify a registrant by editing the individual registration
  • Through the 'People Search', change status and notify a registrant

 

Through the 'Filled Number' or reports, change status and notify registrants individually or in bulk

1. From your Programs dashboard, click on the 'Filled' number for a complete registration list, or hover your cursor over the 'Filled' number and click on the 'Section' name to view a list of registrations for just that section. You can also make these updates through the 'Reports' tab and then selecting the report's name. Here is the view for that report.

 

2. You'll be presented with a list of registrations for that program or section. Select at least one registration using the checkboxes on the left. Select more than one registration to bulk edit and notify.

 

3. Update any or all of the statuses and select 'NOTIFY REGISTRANT OF CHANGES'. At this point, the account owner email address will receive an email stating the changes in status. To send a custom note of your own along with this, input text into the custom note field. You can have this update notification sent to other email addresses, including your own for record keeping purposes, by including additional email addresses in the 'copy to' field. Select 'UPDATE' to update the statuses and send the custom note.

 

Through the 'Filled Number', change status and notify a registrant by editing the individual registration

1. From your Programs dashboard, click on the 'Filled' number for a complete registration list, or hover your cursor over the 'Filled' number and click on the 'Section' name to view a list of registrations for just that section.

 

2. You'll see a list of registrations for that program or section. On the right-side of the table, select the down-arrow associated with the grey 'VIEW' button for the registration you are looking to update and choose 'EDIT'.

 

3. Update any or all of the statuses and select 'NOTIFY REGISTRANT OF CHANGES'. At this point, the account owner email address will receive an email stating the changes in status. To send a custom note of your own, input text into the custom note field. You can have this update notification sent to other email addresses, including your own for record keeping purposes, by including additional email addresses in the 'copy to' field. Select the green 'SAVE AND CONTINUE' button to update the statuses and send the custom note.

 

Through 'People Search', change status and notify a registrant

1. Select the 'PEOPLE' tab on the blue bar at the top of the screen.

 

2. Type a name into either search box and click the 'SEARCH' button. You can search for any part of the registrant name. After searching for a registrant, you will see a list of all registrants with that name.

Click on the name of the person or the number under 'REGISTRATIONS'. 

 

 

3. Click on the Registration Date in blue as this will take you into that specific registration. 

 

4. Scroll down to view the registration information. Click "EDIT" in the top right corner of the page to make changes to the registration. Changes you can make include the different statuses, sections, add-ons and internal fields. (You cannot edit any participant information).
